Fleet Audit Entry

 

Select the current status of the audit for the selected registrant and enter general audit information. Whenever the audit status changes, the auditor may use the Audit Entry screen to record the new status and effective date. Audit information can also be added or updated at any time during the audit.

AUDIT STATUS

Select the appropriate status from the drop-down list. The following are set by the IRP Audit staff:

SELECTED

Account/Fleet has been selected as a potential audit but has not been assigned to an IRP auditor.The IRP System defaults the status to SELECTED after the IRP Account, Fleet, and Fleet Expiration month/year was entered and before it was confirmed by an auditor. The status may be set by an auditor.

Selected Date

ASSIGNED

Account/Fleet has been assigned as inventory to an IRP auditor but confirmation letter has not been sent.

Assigned Date

30-DAY

Audit 30-Day letter has been sent to the carrier requesting records to either be sent into the department for review (desk) or review at their office (field).

Confirmation Letter Date

REVIEW

Audit report and folder have been submitted to supervisor for review.

Review Date

COMPLETED

Audit report and remittance advice (billing) have been approved by supervisor and ready to be mailed.

Completion Date

MAILED

The date the audit report, exhibits & remittance advice were mailed to the carrier.

Mailed Date

HEARING

Carrier requested a hearing regarding the audit results during the carrier’s 30-day review period.

Hearing Date

RELIEF OF ACCOUNTABILITY

Audit fees are written off the department’s receivable. IRP Staff MUST provide a reason such as: re-evaluation, hearing, bankruptcy.

The following audit statuses are set by the IRP system:

DESK AUDIT/FIELD AUDIT

Select the appropriate audit type.

RECORD DUE DATE

Date for the requested records to be provided by the registrant. This date is used in the audit confirmation letter or request for additional records.

DATE RECORDS RECEIVED

Date additional records were received by the registrant.

IRP AUDITOR NAME

The name of the IRP audit staff conducting the audit. This information is used in audit correspondence.

IRP AUDITOR PHONE NO

Phone number where the auditor wishes to be contacted. This information is used in audit correspondence.

IRP AUDITOR EMAIL

Email address where the auditor wishes to be contacted. This information is used in audit correspondence.

SUPERVISOR’S NAME

The name of the supervisor for the auditor conducting the audit.

 

Drop-Down List Options

By clicking the down arrow on the drop-down list, the user may select from available options, if any exist. Options that appear in the drop-down list may change, depending on the function being performed.
